Newlife Clinic is a centre of excellence for women’s health, with emphasis on assisted reproduction, recurrent miscarriage and reproductive immunology. The Epsom-based clinic is housed in superb premises in a prime location between London and the countryside of Surrey, with excellent transport links by road and rail from London and the surrounding areas. The Clinic also has a private car park that can be used by staff members.

The laboratory has state-of-the-art equipment to allow a comprehensive range of fertility treatments. We provide a 7-day service to our patients, with a commitment to best practice and quality.

Role Summary
The post holder will be expected to work as a Lead Embryologist and Lab Manager responsible for managing a small team of embryologists by applying advanced scientific knowledge, skill and expertise at the highest professional level over the full range of embryological and andrological procedures in the provision of a high-quality service to patients.
The role requires someone with effective leadership skills who can delegate and prioritise workloads in an efficient manner, the post holder should have excellent communication skills with patients, their embryology team and their peers within the clinic.
Roles and Responsibilities
Clinical Embryology/Andrology
• Analyse semen and prepare sperm for IUI, IVF and ICSI.
• Prepare sperm from epididymal aspiration and testicular biopsies.
• Identify and collect oocytes at egg collection.
• Perform IVF insemination and ICSI (if trained).
• Culture eggs and embryos, including grading and timelapse analysis.
• Select embryos for transfer and perform the embryo transfer.
• Carry out the cryopreservation of sperm, oocytes and embryos.
• Thawing of eggs and embryos.
• Consult with patients as required and keep patients regularly updated on their embryo development.
• Maintain laboratory records, input data into the patient database and on the KPI spreadsheet.
• Work in accordance with the code of practice set out by the HFEA, ACE and the CQC; and to work with transparency and with a duty of candour to patients.
• Be part of the on-call rota for weekends and emergency call out for lab equipment
General Management
• Form part of the Senior Management Team, involved in the development strategy and ethos of the clinic.
• At all times to lead by example.
Financial
• Ensure efficient management of budget and resources.
• Accountable for maximizing revenue capture in the promotion of services to patients and ensuring the appropriate charges are raised on a patient account.
• Follow organizational guidelines for purchase of supplies and equipment.
• Ensure regular review of supplier contracts whilst seeking a ‘best price’ approach to all negotiations.
Quality Management
• Lead, direct and manage the Newlife Fertility Centre Laboratory, being accountable for ensuring that services are delivered to time, budget and to the required standards of the Centre.
• Accountable for maximizing performance and continuously improving services in accordance with HFEA guidelines, and the strategies and policies of the Centre.
• Continually monitor and evaluate systems and processes to deliver an efficient clinical service, making appropriate recommendations and amendments to services.
• Ensure effective risk management processes and procedures are in place, actively managed, monitored, reported and any improvements implemented.
Customer care
• Accountable for the delivery of high standards of safe care for patients, following the centres guidelines and protocols, promoting a patient –focused approach to care.
• Undertake a wide range of work procedures and microbiological techniques with the aim of the best outcome for the patient.
• Leading by example in providing an excellent customer experience.
People
• Responsible for the recruitment, induction and training of new team members.
• Develop, lead and motivate a competent team.
• Manage staff in terms of absence, performance, disciplinary issues.
General
• Work as a team with colleagues and demonstrate excellent customer care skills.
• Maintain relevant professional registrations.
• Undertake other reasonable duties as required.
• Take part in Team Meetings.
• The post holder must maintain the confidentiality of information about patients, guests, staff and other Centre business. Any breach of this is considered a dismissible offence.
• This Job Description may be subject to revision, depending on the future needs of the post. Any change will, however, be discussed with the post holder prior to implementation.

Knowledge & Experience
• Substantial post qualified experience in all aspects of clinical embryology including ICSI and be licensed as an ICSI operator by the HFEA.
• Previous experience of managing a laboratory and people management
• Good knowledge and understanding of HFEA Code of Practice.

Qualifications
• Minimum Degree in relevant biological subject. ACE Diploma or ACE certificate or equivalent.

Practice
1. To contribute to scientific decisions demanded by the Newlife embryology service.
2. To strictly adhere to protocols and apply scientific skills at the highest professional level in the routine investigations and procedures demanded by Newlife.
3. To plan and prioritise specialist workload on a daily basis and liaising with clinicians and staff.
4. To assist in the assessment of results and the conveying of those results to other staff members and patients.
5. To monitor the embryology inbox and voicemails each day. To answer patient queries, including issuing results and offer advice as appropriate, including referral for appropriate treatment.
6. To convey highly complex clinical information both in person and by telephone to both patients and other service users including clinicians.
7. To assist other team members in the interpretation of results and the solution of problems to promote the efficient running of the Fertility Unit.
8. To plan and implement with other team members to ensure accurate, timely, proper and efficient delivery of the highest possible quality of service to patients.
9. To lead in applying internal and external quality control measures.
10. To plan the on-call rota for early shifts, weekends, bank holidays, patient evenings, and emergency call out for lab equipment.
Training
1. To ensure all staff undertake appropriate training both internally and externally to achieve professional status.
2. To participate in courses, meetings and seminars as required or directed by the Clinic.
3. To present research work/clinical audits at local meetings and national scientific meetings when possible.
4. To lead and be responsible for the training of embryology staff and less experienced junior staff within the department.
Research
1. To assist in research and development activities relevant to the laboratory and Newlife Fertility Clinic when required.
Administration
1. To arrange and plan rotas for the embryology department, including annual leave and out of hours working.
2. To work such hours as may be necessary for the effective running of the laboratory including evenings and weekends.
3. To lead in the formulation of policies, codes, protocols and regulations of the department and the service, including Human Fertilisation & Embryology (HFEA) regulations, and to ensure the statutory requirements of the HFEA are met at all times.
4. To ensure that current Health & Safety and Infection Control regulations are abided to within the laboratory.
5. To ensure the audits within the department, and any additional duties in the preparation for HFEA inspections are met and kept up to date.
6. To engage with the Medical Director and Quality Manager to ensure the quality management systems for the laboratory are kept up to date and in line with HFEA requirements.
7. To ensure all relevant documentation is reviewed to ensure compliance is met prior to transport of patient gametes/embryos or donor sperm.
8. To ensure all relevant documentation to the embryology department is reviewed on an annual basis and the relevant changes are made where necessary. This includes standard operating procedures, Lab processes, patient information.
Data Collection and Record Keeping
1. To ensure accurate laboratory records both manual and computerised are kept up to date, and to participate in maintaining the computerised database system. To assist in the preparation of statistical returns and reports.
2. To ensure systems are in place in co-ordinating annual storage reminders for patients and ensure gametes are not used beyond the consent storage period and are appropriately disposed of as and when required (bring forward system).
3. To assist in the invoicing of patients for annual storage fees when required.
4. To assist in co-ordinating the annual audit of stored patient gametes, including reporting findings to the HFEA.
5. To be able to analyse and audit laboratory performance and lead in audit data collection and analysis.
General data entry
The post holder is responsible for the timeliness, accuracy and integrity of the data which is recorded on paper and electronic systems and should ensure their staff are also maintaining clear and accurate records of data entry.
Laboratory Equipment and Consumables
1. To assist in the purchasing and ordering of adequate supplies and consumables, and to monitor stock control.
2. Regular use and monitoring of highly specialised equipment.
3. Maintaining records of equipment checks, log and resolve technical failures where possible, and assist in organising maintenance contracts, service visits.
Other Responsibilities
1. To undertake general house keeping duties within the laboratory.
2. To always maintain a high standard of cleanliness and sterility within the laboratory, including regular cleaning and emptying of the clinical waste bins.
3. To participate in the multi-disciplinary aspects of the team’s work including taking telephone calls and enquiries.
4. To update the electronic database for patient records to show treatments and services performed to allow appropriate invoicing by patient accounts.
5. To hold regular laboratory meetings with the embryology team. To participate in all team meetings including management and quality meetings.
6. To undertake any other duties which may arise from changes, expansion or development of the service, or from re-allocation of work within the framework of the job description following consultation with the post holder.

The successful applicant may be required to work bank holidays, weekends on a rotational basis.

Salary: starting at £60k+ (dependent upon experience).
